What an ATS actually does
An Applicant Tracking System is the software recruiters use to store, parse, and rank resumes. Workday, Greenhouse, Lever, and Taleo run the majority of large-company hiring pipelines.
When you upload a PDF, the ATS parses it into structured fields — name, contact, experience, skills — and then scores each resume against the job description. Low-scoring resumes never surface to the recruiter's inbox.
Format your resume for machines first
Beautiful resumes often score worst. The ATS can't read what a human designer would love.
Use a single-column layout
Two-column resumes get parsed out of order. Names end up under a job title, and skills disappear into the wrong section.
Stick to standard section headings
'Experience', 'Education', 'Skills', 'Projects'. Creative headings like 'Where I've Made Magic' get skipped by the parser.
Avoid images, icons, and text boxes
The ATS ignores anything it can't turn into plain text. Your headshot, star ratings, and skill bars are invisible to it.
Export as a text-based PDF
Never export as an image or a scanned PDF. Open the file, try to select the text with your cursor — if you can't, the ATS can't either.
Find and place the right keywords
Keyword matching is still the biggest ranking factor in every mainstream ATS.
Mine the job description
Copy the JD into a document and highlight every noun that names a tool, skill, methodology, or credential. Those are the keywords the ATS is weighting.
Place keywords in context
Don't stuff them into a hidden white-text block — modern parsers catch this and downrank you. Weave them into real bullet points describing what you did.
Match both the acronym and the full form
Write 'Search Engine Optimization (SEO)' the first time. This wins on both keyword variants without hurting readability.
